The purpose of this role is to provide an effective and helpful switchboard and reception service, for all incoming queries and visitors to the site.

Your main duties will include:
To ensure incoming calls are answered promptly with a helpful and professional attitude
Managing the message facility offered, ensuring all messages are cleared and complete
Relaying messages by email and telephone to other personnel
Transferring calls to other appropriate extensions around the business
Maintaining switchboard directory to ensure complete and accurate details are available
All faults with equipment or facilities to be reported as necessary
Ensuring all messages taken on behalf of other colleagues are full and concise, with the appropriate information
Ensuring the reception area is neat and tidy at all times
Fresh flowers to be displayed at all times
Meeting and greeting visitors, ensuring a call is made to the appropriate host
Organizing tea and coffee for visitors
Up to date records of extensions and telephone / fax numbers maintained
Booking of meeting rooms using bespoke software to manage them
Organizing catering for meetings
Organizing tea and coffee for meetings
Organizing reserved car parking spaces
Arranging passes for all visitors
Dealing with incoming and out-going faxes
