Job Description:
The General Manager, Service Operations plans, directs, coordinates and implements all aspects of the Service Department (HVAC & Plumbing)to exceed customer expectations and company profitability goals. The GM will establish and implement operating and procedural controls consistent with company policies as outlined in the employee manual. The GM will possess a working knowledge of HVAC and Plumbing systems; possess exceptional communication, organizational and team building skills; demonstrate through previous work experience the ability to plan strategically and meet goals; be a successful collaborator and negotiator; possess a sales oriented vision; be self directed and motivated; demonstrate through previous work experience, the ability to innovate and implement change.

Tasks include but are not limited to:

• Supervise Service Managers for Plumbing and HVAC through weekly meetings to set and review goals, work schedules, and sales activities.
• Collaborate with project managers, estimators, engineers, dispatch and others regarding technician schedules and projects.
• Attend weekly Project Update meetings and ensure that labor reports are at or under labor projections.
• Review job quotes and estimates for all service projects and service agreements.
• Review and approve all service contracts, agreements and invoices.
• Prepare Service reports for regularly scheduled meetings with management to include profitability statements, billable hours per tech/truck, revenue/collections, service agreements, department sales activity and goal attainment.
• Work with the service managers to ensure quality of service work and to resolve customer conflicts, disputes and billing credits.
• Ensure timely billings and assist with delinquent accounts.
• Set and monitor labor and material markups.
• Recruit, hire and train department staff.
• Manage the Service Department budget in collaboration with the company vice-president.
• Works with service managers to ensure that work orders and service agreements are completed in a timely manner with proper documentation.
• Review technician certifications and ensure factory certification is maintained and/or upgraded.
• Oversee the Service Department use of Timberline software for billing, purchase orders, work orders and service agreements.
• Develop and implement service department protocols consistent with current codes and OSHA standards that include but are not limited to establishing work rules to ensure that labor costs are sales driven, establish standard truck inventory, establish standards for parts used by all service personnel.
• Conduct performance and wage reviews for all Service staff.
• Develop detailed standards of performance task list for all positions.
• Supports and participates in The Unified Group through attendance at training events, communication via email and responding to other members and insists on departmental participation.
• Ensure compliance with local, state and federal laws, ordinances and guidelines.
• Develop a departmental compliance program for standards and protocols (i.e., incentives, etc.)
• Maintain current knowledge of industry trends and be able to improve operations to match industry changes.
• Monitor all contract / construction projects to ensure they meet labor and material estimates.
• Monitor and ensure accurateness of staff timecards.
• Provide daily labor reports and hours for technicians.
• Interface with service staff on day to day matters. Assist staff in solving difficult job issues – both field and office staff.
• Inform service managers of all call backs and ensure that job site visits are made as necessary to solve customer problems or complaints.
• Work collaboratively with service managers and other company personnel to ensure that a comprehensive training program is implemented. This will include in-house technical, customer service and procedural training with staff, suppliers, vendors, etc. as well as scheduling factory training as appropriate.
• Develop departmental sales goals and incentives in collaboration with technicians and sales staff.
