What is Construction Executive Secretary Job Description ?

Job Description

Basic Functions:
Performs advanced secretarial duties in support of the department. The executive secretary must use a blend of skills and intelligence, good judgment and senior-level experience. He/She will be closely involved with the work of the company's top management team and has frequent contacts with some of the most influential people in the company.

Duties and Responsibilities:
1. Deals with the top management incoming mail, including assessing its priority, collating it with relevant background information and presenting it in a logical and orderly manner, then allocate, where necessary.
2. Drafts responses to straightforward correspondences, and deal with it to minimize the volume of direct responses required from the top management.
3. Deals with the Managing Director and other top managers' outgoing correspondences, ensuring its accuracy and timely production and dispatch.
4. Manages the Managing Directors and other top management diaries, to ensure that they are able to fulfill their commitments in accordance with their agreed priorities.
5. Ensures the accurate and timely production of all reports and papers generated by the Managing Director and other top management. This will of course involve drafting papers.
6. Organizes meetings, receiving visitors to the Managing Director and other top management.
7. Produces notes of the Managing Directors meetings and ensuring follow-up action is carried out.
8. Organizes travel arrangements and hotel reservations as necessary for the Managing Director and other top managements within the UAE.
9. Responsibility for checking and reporting when office supplies are needed.
Skills
1. Secretarial skills and experience, including accurate typing in English.
2. Excellent computer skills.
3. Experience in administration and able to draft letters.
4. Ability to work independently and professionally.
5. Able to prioritize and possess effective time management.
6. Ability to handle extremely details and highly confidential information.
7. Experience for four years in a similar position.
8. University degree in Business Administration / Management or any relevant courses.
